In this role, you will be pivotal in supporting the operational functions of the Human Capital (HC) Shared Services Center. You will be responsible for delivering exceptional customer service and efficiently handling administrative tasks. Your key duties will include onboarding new employees, managing employment certifications, providing general administrative support, and coordinating various internal processes. Additionally, you will assist the team with various tasks as needed.

  • Answering Employee Questions:

    • Provide employees with support and information regarding human resources (HR) policies and procedures;

    • Direct complex issues to appropriate team members.

  • Incoming Mail Processing:

    • Receive, sort and distribute incoming emails and HR documents.

  • Document Creation and Distribution:

    • Prepare and distribute various internal HC documents;

    • Update various HC documents.

  • Employee Customer Service:

    • Provide high-quality customer service by responding to employee requests in a professional and efficient manner.

  • Computer System Maintenance:

    • Update and enter accurate data in various platforms.

  • Certificates Preparation and Employment Verification Requests Validation:

    • Prepare and verify the accuracy of attestations and verifications of employment for employees.

  • New Employee Files Preparation:

    • Create and maintain new employee files, including hiring documentation and personal information.

  • New Employee Orientation:

    • Facilitate the integration of new employees;

    • Manage the sponsorship program and access in collaboration with the IT team;

    • Deliver corporate presentations.

  • File Verification:

    • Conduct periodic audits to ensure all employee records are complete and up to standard.

  • End-Of-Employment Document Management:

    • Assist in the preparation of termination documents and provide administrative support during employee departure processes.

  • Carry out any other related administrative tasks assigned by the HR manager.

Does this sound like you?

  • Diploma of College Studies (DCS) in administration, HR, or a related field (asset);

  • Previous experience in an administrative or HR support role (asset);

  • Proficiency in HR management software and office tools (Microsoft Suite, SharePoint, Fresh, DocuSign, etc.);

  • Excellent organizational skills and ability to multitask;

  • Ability to work independently while maintaining a high level of team collaboration;

  • Attention to detail and ability to meet deadlines;

  • Excellent verbal and written communication skills.


Please note that due to the nature of the responsibilities of the position, a proficient level of English is required, in particular to communicate on a daily basis with employees and managers outside of Quebec, as well as to read, understand and produce documentation
